What about the data I already keep in Excel?
Whatever suits you: import it yourself from Excel — if you'd rather not share your contacts — or we tidy up your different spreadsheets into one unified database and load it into the system.
Where is the data stored, and who can see it?
The database is set up in an account in your name and under your ownership, on servers in Europe (Frankfurt), with an encrypted connection (HTTPS), optional two-factor login (a code from your phone), an access log of who logged in and what they opened, and regular backups. We get access only for setup and support, and anyone exposed to the data is bound by confidentiality — our quote includes a full chapter on it.
What happens if we part ways?
The database is yours and stays in your account, and our access is revoked. You can also export the whole system to Excel files — every record, project, task and figure — so it is always in your hands.
I work on my own — is this for me?
Yes — and when you work alone it matters most: nobody else is there to remind you, and every client task depends on you. The system tracks every task your business creates and keeps things from slipping, so you can get more done and grow without hiring. The subscription is priced by number of users, starting from one.
Where are files and documents kept?
Each client gets a shared Google Drive folder with access to all the files related to them.
What happens after go-live?
The first month is a free implementation month: fixes and small adjustments, fine-tuning processes and helping your users. After that, a monthly subscription covering hosting, maintenance, infrastructure updates and bug fixes. New development and extra modules are priced separately.
How much of my time does it take?
It starts with a scoping call, followed by a short, focused task list for you to answer. The list is short, but answering it can take a few hours — it depends on how organised your information is and how well you know it. If you need help, we'll sit with you, guide you and help you answer. Later we'll need you at a few technical points too, such as connecting the domain, Google and your invoicing software — and at each one we lead and walk you through it step by step. Everything else is on us.
How long does it take to build a system?
It depends on the size of your business and the scope of the scoping work, and we'll settle it together on the call. You get the task list right after the first call — and the faster your answers come back, the sooner you get a first look at your system.
We're a team of several people — can everyone work in the system?
Yes. Each role gets its own permissions, everyone sees what's relevant to them, and you can see who did what.
Does it work on a phone?
Yes, the system works on a phone too. If you need one, we can also create an app through the browser, at an extra cost.
Can I send forms to my clients?
Yes. Up to 5 ready-to-send forms, and the answers come straight back into the client or project card — no retyping.
What if I want a change after go-live?
During the implementation month, fixes and small adjustments are free. After that, a small change is covered by support, a larger change is priced by the hour, and new development is priced separately (an extra feature, a landing page and so on).
Does the system connect to other software?
It can connect to Google (mail and calendar) and to your invoicing software, provided that software offers a connection (an API). Both are included in the base package. Automatic WhatsApp messages, triggered by events you define in advance, are an extra paid feature.
Something broke — how do I reach you?
Use our support request form or email office@roseitup.com, and we'll reply within one business day. The form lets you mark the type of request and how urgent it is, and every request gets a tracking number on our side.
Why not just set up Monday properly, or stay with Excel?
Off-the-shelf software can be configured, but it still asks your business to adapt to it, and whatever it can't do simply isn't there. Excel can be fine for a single list, but the moment you want to measure output across several areas of the work, every figure has to be typed in again and again: it's exhausting, it eats expensive working hours, and one small mistake distorts the whole picture. In a system built around your business, the data is recorded as you work and the numbers update by themselves.
